Welcome to Vibrant Travel’s Booking Terms & Conditions. Please read these terms carefully. By requesting a Discovery Call or paying any Professional Planning Fees, you agree to the following terms governing our services and your responsibilities.
1. Scope of Services
- Independent Advisor: Vibrant Travel operates as an independent travel advisor and member ofthe Trevello Travel Group network. We research, plan, and manage bookings; travel suppliers (airlines, hotels, tour operators, cruise lines) are third parties.
- Service Bundles: All professional planning services (research, booking, documentation, support) are delivered according to your chosen Service Bundle. Trip components (flights, accommodations, excursions, transfers) are quoted and paid separately.
2. Professional Planning Fees
- Non-Refundable: All Professional Planning Fees are 100% non-refundable. They cover our time, expertise, and coordination efforts, regardless of trip completion.
- Fee Structure: Fees vary by bundle type, party size, trip complexity, and additional services (e.g., rush requests).
- Payments: Fees are due as outlined in your Booking Agreement. Travel component costs (supplier fees, taxes) are invoiced separately.
3. Revisions & Change Requests
- Included Revisions: Minor itinerary adjustments (e.g., time swaps, restaurant changes) are included as specified in your bundle.
- Major Reworks: Significant changes (new destinations, date shifts, full redesigns) are out of scope for included revisions and may incur additional fees. We will quote these before proceeding.
4. Cancellations, Refunds & Chargebacks
- Planning Fee Cancellations: Professional Planning Fees remain non-refundable even if you cancel your trip.
- Supplier Cancellations: Any refunds for travel components are subject to individual supplier policies. You are responsible for reviewing these policies pre-booking.
- Chargebacks: Initiating a chargeback may lead to legal action to recover owed planning fees. Any contested charges remain your responsibility.
5. Client Responsibilities
- Agreement to Supplier Terms: You must read and accept each supplier’s terms (cancellation, change, documentation requirements) before booking.
- Documentation & Health Requirements: Verify passports, visas, vaccinations, and health clearances. Unauthorized cancellations or penalties are your responsibility.
- Insurance: We strongly recommend comprehensive travel insurance (cancellation, medical, evacuation). Insurance is not included by default. Please note:
- Credit card–provided insurance often offers limited coverage and may exclude certain destinations, activities, or pre-existing conditions.
- Group or employer-sponsored medical plans, pensions, and work benefits may have restrictive coverage limits, maximum benefit amounts, and gaps in emergency evacuation or repatriation support.
- Consult a licensed insurance advisor to ensure your policy adequately covers all trip risks and health needs.
6. Liability & Disclaimers
- Advisor Liability: Vibrant Travel is not liable for supplier errors, delays, insolvency, or force majeure events.
- Force Majeure: We cannot control events beyond our control (natural disasters, pandemics, political unrest). Travel is at your own risk; insurance is strongly recommended.
- No Ownership: We do not own or operate any travel suppliers.
7. Governing Law
These Terms & Conditions are governed by the laws of Ontario, Canada. Any dispute will be subject to the exclusive jurisdiction of the courts of Ontario.
8. Acknowledgement & Agreement
By requesting a Discovery Call or paying Professional Planning Fees, you acknowledge that you have read, understood, and agreed to these Terms & Conditions and to the Booking Agreement provided in your proposal.
